This is a very phone heavy position-- "call center like" concerning the amount of time you will be on the phone!

Purpose:
This position is responsible to close incoming Group Sales leads, quote, price and maintain the group booking from start to fruition while maintaining a high level of customer service. Additionally, this position may occasionally be responsible to cold call agencies and develop group business.
Essential Duties/Responsibilities:
GENERAL
· Provide impeccable customer service to internal and external customers according to quality assurance performance criteria
· Meet individual and departmental goals with regard to customer service, sales, and productivity
· Actively maintain, apply and expand knowledge as changes occur
· Participate in hotelier briefings, seminars, familiarization trips and meetings to remain current with product and sales information, customer service skills and system changes and updates
· Be present and prompt for all shifts
· Be able to travel by car, train or air
· Own a valid passport
· Require minimal supervision.
· Perform other related duties as required
SALES
· Answer designated incoming phone lines
· Respond to incoming email and fax requests
· General knowledge of all Apple Group hotels (additional training will be ongoing)
· General knowledge of Apple Group prices, special commissions, payment schedules, booking deposit procedures (additional training will be ongoing)
· Provide quotes for new group requests coming into the Group Sales Department
· Work with Outside Sales Representatives and National Accounts to follow-up on leads for group inquiries
· Follow up on quotes and leads to close group bookings
PROCESSING
· Process Group Credit Card / Check Payments
· Process Rooming lists
· Process fight information for land only bookings
· Provide weekly reports to Amstar CUN/PUJ for new bookings and groups arriving within 60 days
· Follow up on and obtain any outstanding balances that may show on group records prior to travel.
· Open and close inventory when necessary
· Reconcile and close out group files once traveled.
· Perform other related duties as required.
CONTRACTING
· Work with scheduled airlines to block group space, execute contract, track attrition dates, complete ticketing and make payments as contracted.
· Work with hotels that require separate contracts to block group space, execute contract, track attrition dates, keep contract updated as changes occur and make payments as contracted.
· Create and administer Apple Vacations’ Travel Agent and Consumer Group Booking Contracts with precise terms and conditions to maximize company revenue opportunities.
· Work closely with team to confirm correct hotel room and seat blocks to meet group’s changing needs.
· Work closely with team to amend contracts as group needs fluctuate, adding and reducing space.
Job Requirements:
Education:
B.S. preferred
Required Experience:
Previous Sales Experience
Customer Service experience
Good working knowledge of Microsoft Word and Excel
Must have travel industry experience!
Language:
Bilingual English/Spanish a plus!
